CONTMAN Archive, which is the central part of CONTMAN DIRECTOR, provides the functionality of electronic documents archive. This module stores, processes and manages electronic documents and related processes. Together with other CONTMAN DIRECTOR modules, such as CONTMAN Workflow, CONTMAN Scan, CONTMAN Processor and CONTMAN API, CONTMAN Archive provides comprehensive, fully integrated solution.

CONTMAN Archive is a fully scalable module, matching the requirement of any business, regardless of its size and market segment.

The key values and business benefits arising from using CONTMAN Archive system include:

  • immediate access to information – the user with appropriate access rights can easily and quickly locate requested documents. Types of the documents and search attributes may be freely defined. Documents search can be performed using assigned description, creation date (in the system) or full text search - in cases where OCR and ICR engines are used (automatic recognition of printed text and handwritten scripts)
  • centralization of the documents – this is the key business idea of the system. Each document in the repository can be accessed at the same time by virtually unlimited number of users. The basic user interface is the Internet browser. The use of such mechanism greatly improves the effectiveness of enterprise operations and speeds up the information flow. At the same time it eliminates the use of external media for passing the documents to other users. All documents and cases stored in CONTMAN Archive have their unique URL address – thanks to this mechanism, a link to the document or the case can be sent using email or stored in browser’s bookmarks.
  • security – this is the feature of the system that acquired much of our attention. Each system user has strictly defined access rights to individual documents and application functions. Unauthorized persons cannot browse or change any documents. Moreover, digital document remains unchanged regardless of external environment factors (does not degrade physically). The system has been secured by most advanced encryption mechanisms. CONTMAN Archive also fulfills the EU requirements regarding access and passwords.
  • openness and flexibility – the system has been engineered to be independent of operating system and the database. The selection of these components depends entirely on Customer’s preferences. The flexibility also means that there are no limitations of the type of stored documents. CONTMAN Archive enables fetching traditional documents using scanners, but also electronic documents that reside on user’s machines (Office files, text files, PDF documents, emails, fax documents, CAD drawings, etc.). The application automatically places the documents in the system in electronic form, thus reducing costs related to publishing traditional documents in multiple copies. It is also possible to change the look and feel of CONTMAN Archive interface to match Customer’s corporate standards for IT systems.
  • intuitiveness – thanks to use of Internet browser for access to the system, we ensure intuitive and comfortable system operations.
  • full integration – open programming interface enables integration with any ERP, CRM, bank, insurance, Internet portal or information services (e.g. SAP, Oracle, ComArch Egeria, JD Edwards, Siebel, etc) systems. As the software vendor we ensure also that further development of the system will be performed according to emerging requirements of our customers.
