
CONTMAN SAPlink integrates within SAP application major business processes of the enterprise and related documents, reports and Workflow processes. SAP application extended by SAPlink, manages archived documents in modern way.
SAP application contains much key business information, but not all of them. Many strategic data in paper documents or PC files are still inaccessible. CONTMAN DIRECTOR system with CONTMAN SAPlink shares information of all types and integrates them tightly with SAP application.
CONTMAN DIRECTOR provides a broad set of functions related to electronic processing, archiving, management of processes and flow of documents.
SAP ArchiveLink is an open interface defined by SAP, enabling linking SAP application with external DMS and Workflow systems.
Direct access to information
CONTMAN DIRECTOR is a set of tools improving the productivity of employees. Documents are scanned in CONTMAN Scan module or captured in the form of electronic printouts from application, then are archived and shared with users in CONTMAN Archive module. After archiving, the documents are immediately available and contribute to enhanced effectiveness of business decisions and shortening the time of their realization.
Archiving of any document can be also initiated from Workflow process in CONTMAN Workflow module. In other configuration, Workflow process can be started manually and selected documents may be attached to the process at any stage. SAP application users have direct access to documents from the SAP GUI interface screens. Alternatively, they may search and display documents using Web browser to CONTMAN DIRECTOR system.
Archiving
Scanned documents and incoming faxes can be archived in CONTMAN Archive in two ways:
First CONTMAN Archive, then SAP
A document is archived in CONTMAN Archive module and then is placed by CONTMAN SAPlink in internal Workflow of SAP application. CONTMAN SAPlink sends unique identifier to SAP application that is further used to retrieve document from CONTMAN Archive. SAP users can later on process document in any steps of internal Workflow of SAP application.
First SAP, then CONTMAN Archive
Information retrieved from original document is fetched into SAP application. After a document is stored in SAP application, a bar-code sticker with unique document identifier is automatically generated. After a sticker is attached, the document can be further processed manually. After all required signatures and stamps are collected, the document may be scanned in CONTMAN Scan application. The scanner will read barcode and based on its contents (unique identifier) a link will be created between data entered into SAP system and document released to CONTMAN Archive.
Outgoing documents
SAP application generates two types of outgoing files: ELO and PDF printouts. ELO printouts are very large reports, they do not contain graphical attributes. PDF printouts are typical business documents with graphical attributes (invoices, orders, graphics, etc.). CONTMAN SAPlink supports both types of outgoing documents and archives them in CONTMAN Archive module.
PC documents
Any electronic documents (Office files, text files, PDF documents, electronic mail, faxes, CAD documents, etc.) are archived and retrieved in exactly the same way as scanned documents.
Data archiving
CONTMAN SAPlink enables archiving data from SAP application. Thanks to this mechanism, SAP data use less space, what translates to improvement of SAP operating speed. Authorised SAP users can choose the range of data for archiving. CONTMAN SAPlink archives selected data in CONTMAN Archive. SAP application can retrieve data directly from CONTMAN Archive.
Retrieval
Directly from SAP GUI
Documents can be retrieved directly from SAP GUI. Documents are displayed on the screen in any browser associated with extension of archived file.
Using Internet browser
Instead of using browsers associated with file extension, SAP GUI can display archived documents in Internet browser of CONTMAN DIRECTOR system.
Thanks to the use of CONTMAN Director browser, it is possible to use document annotations, black regions, highlights, text notes, stamps, print and fax document and many others.
