Contracts, annexes, HR documents, invoices: the documents that need a signature can be signed in CONTMAN Sign - electronic signatures and seals. You never leave the system in which they are created, circulated and stored. No paper, no courier.

Nor do you wait for someone who happens to be on a business trip. They confirm the qualified electronic signature on their phone: in the mObywatel app or with a text-message code.

Partners chosen with care

We did not pick our partners, the providers of qualified signatures, by chance. Before deciding, we reviewed the market and assessed every candidate in detail:

  • how easily and how quickly a person with a Polish ID card can obtain a signature remotely,
  • what it costs,
  • how mature the technical cooperation is,
  • whether the provider offers a seal and a timestamp,
  • how dependable a partner it will be for years to come.

The first filter was the protection of your data: only a digital fingerprint of the document may reach the provider, never its content. That is how we chose three partners who, together, meet our clients' needs for ease of use, price and upkeep.

They work side by side and are interchangeable, so CONTMAN is ready for changes in the market and in the law. One partner can be replaced by another without rebuilding the rest of the system. Your company chooses which partners it uses and sets a default one.

The simplest way to a qualified electronic signature

  • No visit to an office, no card reader, nothing to install on your computer.
  • You confirm your identity in the mObywatel app on your phone and accept the signature on the provider's page.
  • Not using mObywatel? A one-off remote identity verification is enough: you show your phone your ID and your face, or have a short video call with a consultant. It takes about 10 minutes, and every later signature is confirmed with a text-message code.
  • You need no certificate beforehand: the provider issues a short-lived qualified certificate just for the signature. Already have a qualified cloud signature with one of our partners? You can use it in CONTMAN too.
  • On the "Mój podpis" (My signature) page you see at once whether you are "Gotowy do podpisu" (Ready to sign).

No hardware, no separate platform

  • You buy no card readers or cards, because qualified signatures are made with providers in the cloud.
  • You need no separate electronic signature software: signing is a workflow step in the same system where the document is created and stored.
  • An employee receives a certificate for advanced electronic signatures automatically at their first signature, and the system renews it by itself. Nothing to buy outside, nothing to keep track of.

Electronic signatures in every document workflow

  • Signing is not yet another app but a step of a workflow in CONTMAN Workflow - document workflow: contracts, annexes, invoices, documents from a Word template and HR documents in CONTMAN HR - employee files. CONTMAN Sign signs PDF files.
  • The document goes to the next people by itself, in the order you set. An automatic workflow step applies the company seal, with no one involved.
  • Every signature and every seal creates a new version of the file, so the history shows which version carries which signature.
  • Someone refuses to sign? They have to give a reason, which stays in the process history, and the workflow follows the path prepared in advance.
  • You set the company's rules: which signature methods you allow, how long a signature must remain verifiable and whether to add a timestamp. A single workflow can only tighten these rules, never get around them.

Everything in one place

  • One system and one workflow give you advanced, qualified and biometric signatures, an electronic company seal with your logo, and a timestamp.
  • CONTMAN checks every signature straight away. Only what the EU trusted list recognises as qualified shows green, and you download the full verification report with one click.
  • A signature can carry, from the start, the data that lets you verify it years later.
  • Security as standard: every signature with a provider is protected by a second factor (a PIN, a text-message code or confirmation in mObywatel). Only a digital fingerprint of the document goes to the provider. Signing out of CONTMAN also ends your session with the signature provider.

How it works in practice

  1. The workflow creates a contract with Example Company from a Word template, straight away as a PDF ready to sign.
  2. The legal department approves it.
  3. A board member signs it with a qualified signature, confirming their identity in mObywatel on their phone.
  4. The system applies the company seal by itself.
  5. The signed contract stays in CONTMAN Archive - document archive as a new version, with its full history: who, when and in what order.
